Policies
Arrangements for catering and refreshments must be finalized through UW Catering at least three business days prior to the event. Pursuant to existing contracts, UW Catering provides exclusive catering services on campus. No outside food or beverages are allowed.
A cost center number, an advance deposit of 50%, or a valid credit card on file is required to confirm an event. The remaining balance will due due at the conclusion of your event. No contracts will be finalized without billing information. UW Catering accepts V/MC/AMEX/DC.
Menu prices do not include Wisconsin State Sales Tax (5.5%). If exempt from Wisconsin State Sales Tax, we require a completed Form 13 PRIOR to your event.
All on-campus reservations should be made by calling the Campus Events and Reservations Coordinator Please book your room first.
The catering department’s hours are 8 a.m. – 4:30 p.m., Monday through Friday. Menu selections are coordinated online and through the Catering Office.
Any order received less than 7 days before the event is considered a rush order and will incur a $20.00 rush fee. Any order received less than one business day before the event is considered expedited and an additional charge of $20 or 20% will be added to the order, whichever is greater. The final guarantee (number of attendees) must be finalized (3) business days prior to the day of your event. The confirmation and guarantee will include the exact times, location, attendance, menu choices, and room setup. If no guarantee is received, preparations will be made for the total number estimated at the time the menu was ordered. The final charges will be for no less than the guaranteed number.
If your group will be arriving later than scheduled, please notify us as soon as possible. When the University of Wisconsin-Superior closes for inclement weather or other emergency, all catering events will be cancelled. If your event is cancelled, you are responsible for contacting the catering department and cancelling your event. You will be liable for 100% of your food bill for any event that is not cancelled within three (3) business days.
All final guest count numbers are due to the Catering Department 7 business days before the event. Additions or changes to your event that occur on the day of your event will be charged a $50.00 fee along with any costs already incurred by the catering department. Any food served above the original order, will be served at the catering departments’ discretion and availability.
All events held within the UW Student Union will be free of a delivery charge. We will deliver anywhere on campus with a $10.00 delivery fee. A delivery charge of $20.00 will be added when food or equipment is delivered off campus within city limits. Delivery outside Superior city limits will be charged $20.00 plus mileage at standard government rate for each trip required to and from the event. Charges will be quoted on an individual basis once we understand the scope of your needs. Catering orders will include necessary disposable utensils, dinnerware, linen for food and beverage tables and condiments in quantities consistent with your order. China service is available for an additional $3.00 per person.
Any unused food remains the property of UWS Catering and cannot be removed from an event in compliance with local health regulations. Credit cannot be issued for leftover food or unused items. Any condiments or disposables also remain the property of UWS Catering. All Products Removed from any event will incur an additional CHARGE minimum of $20.00.
Lost or misplaced items are not the responsibility of UW Catering or UWS Dining Services.
Arrangements for alcohol service at a catered event off campus must be made through the Catering Office. All alcoholic beverages and catering staff will be provided as part of the event contract. The attendant to pour wine and beer for approved on-campus or off-campus events incurs a $20 per hour charge. Alcoholic beverages are not permitted outside the boundaries of the locations where it is being served.
